ChristianaCare is currently seeking a full-time Access Coordinator for their Psychosocial Oncology Department at the Helen F. Graham Center .
WORK SCHEDULE:
Monday-Friday, Day Shift (no weekends, evenings or holidays required)
PRIMARY FUNCTION:
Provides exceptional customer service and administrative support to Psychosocial Oncology within the Behavioral Health service line and Helen F. Graham Cancer Center. The majority of duties are customer facing and telephone-based and include assessing appropriateness for Psychosocial Oncology services as well as urgency of need, scheduling initial evaluations and follow up appointments. Additional functions include maintaining data, procuring records, and prescription refill requests. Provides ongoing collaboration with Psychosocial Oncology clinical team and works collaboratively within Behavioral Health and Cancer service lines in support of an integrated model of health care.
PRINCIPAL DUTIES AND RESPONSIBILITIES:
Demonstrates the knowledge, skills, and abilities to coordinate and support mental health care for people impacted by cancer.
Maintains calm, patient, professional demeanor, and exceptional customer service skills.
Assists with crisis protocols and appropriately seeks support from supervisors, clinicians, and public safety as needed.
Checks-in patents and ensures that demographics, insurance, and patient ID is correct and scanned into the system
Collects co-pays and performs end of day reconciliation
Retrieving daily referrals from Aerial, PowerChart, and fax
Responds to culturally-specific patient needs.
Inbound and outbound calls to patients and referring providers
Verify insurance coverage with patients
Ensures prior authorizations and/or referrals for office visits are acquired
Keeps track of allowed visits per payer and communicates with providers when letters of Medical Necessity are needed
Verifies daily Televox report and performs reminder calls when needed
Prepares documentation for scanning and sending to HIMS
Schedules and register Registers patients, ensuring patients are scheduled with appropriate provider
Answers patient questions related to billing.
Maintains providers' calendars.
Completes documentation in a timely, efficient, and confidential manner.
Assists with requests for procurement of Special Needs Funds.
Coordinates referral to community setting as necessary; maintains knowledge of resources including community providers and support organizations appropriate to population.
Collaborates with interdisciplinary team and community partners.
Prepares information and resources for support groups, therapy groups, and education as needed.
Completes mandatory CCHS education and maintain certification in area of specialty.
Demonstrates knowledge of patient's rights and maintains confidentiality of departmental and patient information.
Supports clinical staff in identifying opportunities and implementing strategies to improve performance that impacts patients, providers, and staff.
Performs a variety of administrative and clerical functions such as answering phones, scheduling meetings, data management, spreadsheets & reports, ordering supplies, and photocopying/faxing documents.
Coordinates office activities and communicates messages efficiently.
Collects, compiles, and reports department-specific program or administrative information and oversees quality control of database or spreadsheet information.
Supports departmental and CCHS performance improvement initiatives.
Assists in implementation of project plans related to Behavioral Health and Cancer initiatives.
Assists in monitoring and reporting results against stated goals and target dates.
Demonstrates the ability to formulate and maintain positive working relationships with peers, managers, and other members of the health care team.
Performs assigned tasks that need to be completed even when outside the scope of routine responsibilities; adaptable to changing departmental conditions; team worker.
Performs assigned work safely, adhering to established departmental safety rules and practices.
Reports to the appropriate personnel, in a timely fashion, any unsafe activities, hazards, or safety violations that may cause injury to oneself, other employees, patients and visitors.
Performs other related duties as required.
EDUCATION AND EXPERIENCE REQUIREMENTS:
Associate's degree or equivalent preferred.
Three years related experience in hospitality, service, or medical. Oncologic or behavioral health setting preferred.
Equivalent combination of education and experience may be substituted.
